Collections Coordinator Purchasing (f/m/d)

Job description

We have a fantastic opportunity for a talented Collections Coordinator Purchasing to become part of the success story and join the zooplus team in our modern office in the heart of Vienna with excellent infrastructural connections. In this role, you are part of the central Purchase Steering Team that is responsible for Purchasing Controlling, Purchasing processes (e.g. supplier receivables, contract management) and project management. You will contribute to the success of zooplus by being the interface between Accounting, Purchasing and the supplier and positively influencing our cash flow.

What you can expect:

  • Full responsibility of process of all receivables towards suppliers and dunning processes (billing of off-invoice conditions e.g. bonuses, promotions, one-off conditions, etc.)
  • Proactive evaluation, investigation, and timely collection of outstanding accounts receivables
  • Direct contact with suppliers: Drive desired customer payment behavior through timely and insightful contact with suppliers. He/she also employs collection technique and negotiation to maximize cash flow and create a favorable supplier relationship
  • Exercise good judgment and decision-making skills involving payment arrangements on disputed items and/or write-offs, orders release
  • Compile month-end reports for department budget and weekly reports for Management
  • Make recommendations to management on accounts or items that are potentially uncollectible
  • Build and maintain good working relationships with relevant teams across a wide range of areas (Accounting, Purchasing, etc.) throughout the organization and external parties
  • Maintain accurate information within the system, in compliance with company policies: create invoice lists, balance adjustments
  • Initiate correction bookings
  • Support financial audit
  • Prepare documentation required to facilitate payments
  • Optimize process to reduce open positions, differences in purchase volume and automate the dunning process
  • Maintain and update supplier database, dashboards and action plans


  • Degree in Finance, Accounting or Business or comparable education
  • >3 years experience in Accounting and/or Finance; Purchasing/Vendor Management experience is a plus
  • Very good computer skills, preferably experience in working with SAP Environment (skilled with Microsoft Office applications such as Excel is a must).
  • Excellent communication skills, fully fluent in German and English both spoken and written.
  • Solid experience in interacting with external stakeholders (key accounts, accountants, etc.), ability to always remain professional and courteous while negotiating or influencing their decisions to reach a good outcome for zooplus
  • Good analytical and problem-solving skills
  • Ability to successfully manage high tension and perform well under pressure

For this full-time position (38.5 hours / week) you can expect a yearly salary of at least EUR 37.000 gross. Additional over-payment depends on qualification and professional experience.
